UK Rental Inventories and Check-In Reports: A Guide for Overseas Landlords
A good inventory is the cheapest protection a landlord has. If you live abroad and let a UK property, a dated record of the property's condition at the start of a tenancy is what makes deposit deductions fair and disputes easier to settle.
This Banke UK guide explains what an inventory is, what it should contain and how overseas landlords can arrange it without being on site.
The Short Answer
An inventory lists the contents and condition of the property, room by room, with photographs. It is signed or acknowledged by the tenant at check-in and compared with the condition at check-out. There is no single form required by law for every tenancy, but without one it is hard to show what changed during the tenancy.
What a Good Inventory Includes
- The condition of walls, floors, ceilings, windows, doors and fittings in each room.
- Dated photographs, ideally with close-ups of existing marks or damage.
- Furniture and contents, if the let is furnished, with their condition.
- Meter readings for gas, electricity and water.
- Keys and fobs provided, and the number of each.
- Smoke and carbon monoxide alarm checks, noting that alarms were present and working at the start.
- Garden, shed or parking areas, where relevant.
Who Prepares It
Many overseas landlords use a letting agent or an independent inventory clerk. Ask what they charge, whether photographs are included and how quickly the report is delivered. If your agent does it, read a sample first. For help choosing, see Banke UK: letting agents for overseas landlords.
Check-In Day
- The tenant receives the inventory and has a set period to comment on it. Agree that period in writing.
- Note anything the tenant disagrees with and attach it to the record.
- Keep one copy yourself, stored where you can find it years later.
Check-Out and the Deposit
At the end of the tenancy, compare the property with the inventory. Allow for fair wear and tear. Deductions must be justified, and a deposit taken in England must be protected in an approved scheme. Read Banke UK: UK tenancy deposit protection, the 30-day rule for the timing. If the tenant disputes a deduction, the scheme's dispute service will look at the evidence, and the inventory is the main evidence.
Safety Documents That Belong Beside It
Keep the gas safety record, electrical safety report and energy performance certificate with the inventory and give the tenant the required copies. Our guide to landlord safety certificates in England lists them. Rules differ across the UK nations, so check the one that applies to your property.
Common Mistakes
- Photographs with no date or room label.
- An inventory written after the tenant has already moved in.
- No record of meter readings.
- A vague "good condition" note instead of a description.
